Speaker Ready Room
Venue: Function Room II, Level 1, Melia Hotel


1. Speaker Ready Room

The operational times are:
Thursday 27th September 2007 1000hrs – 1700hrs
Friday 28th September 2007 0700hrs – 1700hrs
Saturday 29th September 2007

0700hrs – 1700hrs


Handing Over of Videos / Electronic Copy of Presentation Materials
You are requested to hand in your videos / electronic copy of your presentation materials at least 1 day before your presentation date to the coordinators in the Speaker Ready Room.
2. PCs / Laptop Computers

a.
Presentations using personal laptop computers will not be permitted. You are required to pass the soft / electronic copy of your presentation files to the coordinators in the Speaker Ready Room so that these materials can be pre-loaded into the PCs in the respective function rooms. This would help to avoid unnecessary delays between speakers.
b.
Presentations should be in Microsoft PowerPoint format. The soft copy of the data can be submitted as a 1.44MB Floppy Disc, Thumb Drive or as a CD-ROM. These have to be PC. Please note that no other form of data will be accepted.
c.
Please ensure all videos that are inserted into the PowerPoint presentation are tested at the Speaker Ready Room. Embedded videos within PowerPoint must be in QuickTime, MPEG1or MPEG2 encoded or Window Media Player AV1 (Index 5.0 or better Codec only) format. No other embedded video format will be accepted.
d.
Please note that dual PC / Video Presentation are not possible. All sessions will be a single-screen format.
e.
The soft copy of your presentation can be submitted on Thursday, 27 September 2007 between 1200hrs to 1400hrs to the Speaker Ready Room (Function Room II, Level 1, Melia Hotel).
f. Please kindly note that no adaptors will be provided for MAC notebooks.
3. Audiovisual

a. Slides
There will be no 35mm slide format available.
4. Videos

a.

VHS Projections
Video projections are available in both PAL and NTSC VHS formats. No S-VHS format is available. Please note that video projections can only be consecutive and not concurrently at any one time.

Kindly edit those sections of the video that are necessary for your presentation.

b.

Original Tapes
You are advised not to use your original tapes for presentation. Please make duplicates of your tape(s), as the Organizing Committee will not be held responsible for tapes damaged in the process of customs clearance and during the Congress proper.

c. MiniDV / DV Camcorders
Please transfer all video material into Mpeg, Quicktime or AVI format. No personal video camcorders will be allowed to connect to the LCD Projectors.
5. Time Keeping

a.

Timer
The timer will sound one minute before the end and at the end of your presentation allocated time. Kindly adhere strictly to the allocated time, as the session will have to end promptly to avoid delays.

Presenters at the Free Paper sessions will be given 4 minutes to present their findings and 1 minute for questions. No additional time will be allocated if you are unable to complete your presentation.

b.

Laser Pointer
A laset pointer will be provided and placed on the podium.

c.

Reserved Seats for Speakers
Front row seats are reserved for upcoming speakers. Be seated there so that you can be identified as present by the Chairman of the Session.
